Football Mindset: privacy notice (beta)

This notice covers the Football Mindset app during its beta test (2 November to 13 December 2026) and our website, mindset.iqcoaching.co.uk, where adults can sign up for the beta.
The short version (for young players)
- You don't need an account. We never ask for your name, email or photo.
- The app remembers a few things so it works for you: whether you're a player, coach or parent, your age group, any topics you picked, the cards you saved, your "Tried it?" answers and where you got to in Explore.
- All of that stays on your phone, tablet or computer. It is not sent to us or to anyone else.
- There are no adverts and no tracking cookies.
- You can wipe everything at any time: go to Settings, then Privacy, then tap Clear my data. (To find Settings, tap the person icon at the top of the screen.)
- If anything in the app worries you, or you're not sure what something means, talk to a parent, carer or your coach.
- If something is upsetting you, on or off the pitch, you can talk to your club welfare officer or call Childline free on 0800 1111.
1. Who we are
Football Mindset is a football learning app for grassroots players (U7 to U16), coaches and parents/carers in the UK. It is currently in a beta, which means a small group of adults who signed up, and the young players they support, are testing it.
The person responsible for your information (the "controller" under UK data protection law) is Rob Stancombe, trading as IQ Coaching, a sole trader based in the UK. When this notice says "we" or "us", it means Rob.

Football Mindset is football learning and general sport psychology. It is not therapy or mental-health advice and it does not diagnose anything.
2. What the app stores on your device
The app has no accounts. It saves a small amount of information only in your browser's storage on your device (a feature called "local storage"). This information is not sent to us, and we cannot see it. The one exception is a poll answer, if a coach or parent chooses to answer a poll (see section 6b).

Team planner names. To plan positions and playing time, you can type your players' first names or initials. Please use first names or initials only, and nothing else about a child (no surnames, ages, health or other notes). These stay on your device and are never sent to us, but anyone who uses that device could see them. You can remove them at any time with "Clear all names" in the Team planner, or with "Clear my data" (section 9). "Save as picture" saves the line-up to your own device. Think before sharing it, and don't post children's names publicly without their parents' agreement.
Please don't type children's names or other personal details into the Plan–Do–Review notes or the Session builder. They stay on your device, but anyone who uses that device could see them.
To work offline, the app also saves its own files (pages, pictures and fonts) on your device. These are part of the app, not information about you.
3. What we don't do
- No accounts, sign-in, email addresses or photos in the app. The only names the app holds are first names or initials a coach chooses to type into the Team planner, and those never leave the device.
- No adverts.
- No cookies, and no tracking or advertising of any kind.
- No analytics, usage statistics or error-monitoring tools in the app.
- No location tracking.
- No selling or sharing of your information.
- No chat, comments or community features, so nobody can contact you through the app.
- No profiling to decide what you see, beyond the role, age group and topic choices you make yourself.
- No streaks, points or notifications designed to keep you coming back.
4. Hosting
The app and our website are both hosted on Cloudflare Pages, run by Cloudflare. The app's fonts and pictures come from the same place, so opening the app doesn't connect you to any other company.
When your device opens the app or the website, it connects to Cloudflare's servers, as it would for any website. To deliver the pages and keep the service secure (for example, to block attacks), Cloudflare automatically handles technical information such as your device's internet (IP) address, browser and device type, the page requested and the time. If a page fails to load, your browser may also send Cloudflare a short technical error report (a standard feature called Network Error Logging).
We don't use this information to identify you, and we haven't switched on Cloudflare's optional analytics or extra logging. Cloudflare keeps its own short-term technical records under its privacy policy: https://www.cloudflare.com/privacypolicy/. The small database that holds poll totals (section 6b) is stored in Cloudflare's Western Europe region.
5. Usage statistics and error monitoring
There are no analytics, usage statistics or error-monitoring tools in the app or on our own website pages. We don't count which cards you open, how long you spend in the app or how often you come back. The only thing that leaves the app is an anonymous poll answer (section 6b).
The website's sign-up form and our final feedback form are provided by Tally, which uses its own error monitoring (see sections 6 and 7).
If we ever want to add statistics, we'll update this notice and tell beta testers before switching anything on.
6. Feedback
During the beta we ask adults (parents, carers and coaches) what they think. There are three ways this happens:
- Weekly check-in emails. If you signed up for the beta (section 6a), we send you one short check-in email a week. You can answer by replying.
- A final feedback form near the end of the beta. The form is run by Tally, the same form tool as our sign-up form (see sections 7 and 10). It doesn't ask for your email address. Anything you type into it goes to Tally. When you open the form, Tally receives the usual technical information, such as your IP address and browser type, and if something goes wrong in the form, technical details about the error may be sent to Sentry, the error-monitoring service Tally uses (section 7).
- "Tell us what you think" in the app. In the coach and parent views, under Settings then About this beta, this link opens your own email app with a new message to hello@iqcoaching.co.uk. Nothing is sent unless you choose to send it. The link doesn't appear in the player view. Young players: if you'd like to tell us what you think, please ask a parent, carer or coach to send feedback for you.
Please don't include any child's name or personal details in your feedback.
We use feedback only to improve the app and run the beta. Only Rob can see it. Only Rob can access the Google Sheet that holds beta sign-ups and the beta email inbox. We send and receive email using Google Workspace (Gmail). Giving feedback is up to you, and we rely on your consent: you can stop at any time.
We delete feedback that identifies you by 31 January 2027. After that, we keep only an anonymised summary of what people told us, with names, email addresses and anything else that could identify you removed. We'll only quote your feedback if you give us permission, and any quote we use will be anonymised.
6a. Beta sign-ups on our website
If you're an adult (a parent, carer or coach) and you sign up for the beta on our website, we collect:
- your first name and email address
- whether you're a parent, a coach or both, which age groups you'll use the app for, roughly how long you've coached (optional), and what type of phone you use
- where you heard about the app, and which link you used to reach the form (so we know which clubs and groups to thank)
- the boxes you ticked to confirm you're 18 or over, to give permission for your child (parents) or not to send the link straight to under-18s (coaches), and to receive beta emails
- optional: whether you'd like updates after the beta, or a short chat at the end
We don't collect any information about your child. Please don't include any in your answers.
Why: only to run the beta: to send you the app link, one short check-in email a week and a final feedback form between 2 November and 13 December 2026, and to make sure we hear from a good mix of coaches and parents. We rely on your consent, which you can withdraw at any time by replying "remove me" to any email or writing to privacy@iqcoaching.co.uk.
Where it's kept: Tally, an EU-based form tool that stores form data in the EU. Each sign-up is also copied to a Google Sheet in our Google Workspace account, which only Rob and people helping him run the beta can access. We won't sell or share it.
How long: we delete beta sign-up details by 31 January 2027. If you ticked "keep me posted", we keep just your name and email for that until you unsubscribe. Every email we send includes an unsubscribe link.
6b. Polls for coaches and parents
Coaches and parents may see the occasional poll in the app. Polls only appear in the coach and parent views, never in the player view.
- Polls are anonymous. When you tap an answer, we add one to the total for that answer. We don't store your name, email or anything else that identifies you with your answer.
- Your device remembers that you've answered, so the app doesn't ask you again. Clearing the app's data removes this.
- To stop the same device answering twice, our server also keeps a scrambled code for each device and poll. The code doesn't contain your name, email or internet address, and it isn't linked to the answer you gave. When a poll closes, its codes are deleted and only the totals are kept.
- Cloudflare, which hosts the app, briefly sees your device's internet (IP) address when your answer is sent, so it can deliver and protect the site, as it does for every page you open. Our poll code doesn't save IP addresses, and we don't switch on Cloudflare's optional request logs or analytics for polls.
- We only show results once at least 20 answers are in. We may publish the totals, for example "120 answers from coaches and parents using Football Mindset". These describe people using the app, not football in general.
- Answering is optional and makes no difference to how the app works for you.
7. Our website
Our website (mindset.iqcoaching.co.uk) tells people about Football Mindset and lets adults sign up for the beta.
- Hosting: the website is hosted on Cloudflare Pages, like the app. Cloudflare handles the normal technical information described in section 4 to deliver the pages and keep them secure.
- No cookies or trackers on our pages. Our own pages set no cookies and contain no analytics, advertising or social media trackers. Our fonts and pictures are stored on our own site, so they don't come from Google or anyone else.
- The sign-up form is run by Tally. The form is embedded in the page from Tally (tally.so). To show it, your browser loads Tally's embed code and the form from Tally's servers, and the form talks to Tally's system (api.tally.so). This means Tally receives the usual technical information, such as your IP address and browser type, when you visit the page, even if you don't fill in the form. Anything you type into the form goes to Tally, as described in section 6a. You can also open the form directly on Tally's website.
- Tally's error monitoring. Tally uses a service called Sentry to spot and fix technical problems with its forms. If something goes wrong in the form, technical details about the error and your browser may be sent to Sentry. This is part of how Tally runs its service; we don't receive this information.
- Link tracking (UTM tags). Some links we share include tags at the end of the web address, such as "utm_source=club". These say which channel or club the link came from, not who you are. If you arrive with one of these links, the tags are passed into hidden fields in the sign-up form, so if you sign up we can see which link you used (section 6a). If you don't sign up, we don't receive them.

8. Links to other websites
Some cards and activities link to research papers, coaching articles and videos on other websites (for example, England Football Learning, PubMed or YouTube). Nothing opens unless you tap a link. Those websites have their own privacy policies and may use cookies. Once you leave Football Mindset, this notice no longer applies.
9. How to clear your data
In the app (the quickest way):
- Open Settings (tap the person icon at the top of the screen, then Settings, or go straight to Privacy).
- In the Privacy section, tap Clear my data.
- Confirm. This removes your role, age group, topics, saved cards, "Tried it?" answers, Plan–Do–Review notes, saved Session builder plan, Team planner line-ups and names, card of the day, Explore position and the record of polls you've answered from this device.
Coaches can also clear only their notes with Clear notes under Coaching Toolkit → Plan–Do–Review.
Using your browser settings (steps vary between versions):
- iPhone or iPad (Safari): Settings → Apps → Safari (on older versions, Settings → Safari) → Advanced → Website Data. Find the Football Mindset web address and delete it. If you added the app to your Home Screen, removing it from the Home Screen may also remove its data.
- Android (Chrome): Chrome → ⋮ menu → Settings → Site settings → All sites. Find the Football Mindset web address, then choose Delete / Clear & reset.
- Computer (Chrome, Edge, Firefox, Safari): use the browser's "clear site data" or "cookies and site data" option for the Football Mindset web address.
Clearing your browser's history or site data will also remove everything. Because we don't hold a copy, deleted data cannot be recovered, and we can't restore it for you.
Clearing the app's data doesn't affect poll totals already counted, or your beta sign-up details. To have your sign-up details deleted, reply "remove me" to any beta email or write to privacy@iqcoaching.co.uk.
10. Who helps us, and where your information goes
We use a few companies to run the app, the website and the beta. They handle information on our behalf and only to provide their service to us:

Information leaving the UK: these providers may process information outside the UK, for example in the EU or the USA. When they do, they use safeguards that UK data protection law accepts, such as UK "adequacy" decisions for certain countries or standard data protection contract terms. Tally stores form data in the EU.
11. Our lawful bases
UK data protection law says we need a valid reason (a "lawful basis") for using personal information. Ours are:

The things the app saves on your device (section 2) never reach us, and we only use your device's storage for features you choose to use, never for tracking.

13. Your rights
Under UK data protection law you have rights over your personal information. You can ask us to:
- tell you what we hold about you and give you a copy
- correct anything that's wrong
- delete it
- limit how we use it, or object to how we use it
- give it to you in a format you can pass on.
Where we rely on your consent, you can withdraw it at any time. This doesn't affect anything we did before you withdrew it.
Because the app's information stays on your device, you already control it and can delete it at any time (see section 9). We don't hold a copy, so we can't look it up for you. If you signed up for the beta, sent us feedback or emailed us, contact privacy@iqcoaching.co.uk and we'll help. We'll reply within one month.
Complaints: if you're unhappy with how we've handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:

14. Children
The app is designed to be used by children as well as adults, so we've tried to keep it simple and private by default:
- no accounts and no personal details asked for
- everything a player chooses stays on the device
- polls and the "Tell us what you think" feedback link only appear for coaches and parents, never for players
- no adverts, tracking cookies, chat or contact with strangers
- no features designed to make children spend more time in the app (the player feed pauses after 10 cards a day).
Only adults can sign up for the beta, and we don't collect any information about children. We've written a short version at the top of this notice for younger players. Parents and carers, see section 15.
15. For parents and carers
- What your child shares: nothing leaves the device. The app asks only for a role and an age group, plus optional topics. It never asks your child for a name, school, club, photo or location. If your child's coach uses the Team planner, your child's first name or initials may be saved on the coach's own phone or tablet. It never leaves that device and we never receive it.
- What your child can see: short football-mindset cards written for their age group, a football quiz, match-day routines and practical activities. There is no chat, no messaging and no user-generated content, so other users cannot contact your child through the app. Some cards link to other websites (section 8).
- Shared devices: if your child uses your phone or tablet, their saved cards and answers are stored on that device. Anyone using the same browser on that device can see them.
- Clearing data: you can delete everything with Settings → Privacy → Clear my data, or by clearing the site's data in the browser (section 9).
- Feedback: we ask you, not your child, for feedback (section 6). Please don't include your child's name or personal details.
- Not therapy: the app is football learning, not mental-health support. If you're worried about your child's wellbeing or safety, speak to your club welfare officer, your GP or another trusted professional. Childline (0800 1111) is free for children and young people.

16. Changes to this notice
If we change how the app or website handles information (for example, adding statistics), we'll update this notice and the "Last updated" date before the change goes live, and tell beta testers by email.
